How to legally cancel a flight plan under FAA regulations for piston planes

The Pilot’s Responsibility: Legally Cancelling Your Flight Plan

As a pilot of a piston aircraft, filing a flight plan with the FAA is a proactive step for safety and efficiency.1 It serves as a vital link to the air traffic control (ATC) system, providing critical information about your intended flight path, estimated times, and emergency contacts. However, circumstances can change, and knowing how to legally cancel your flight plan is just as important as knowing how to file one. This ensures you comply with FAA regulations, prevent unnecessary search and rescue operations, and maintain a professional demeanor in the cockpit.

At The Aero Center, we understand the nuances of single-engine and twin-piston aircraft operations. Our experience as the only 24/7 maintenance center in California, Arizona, and Nevada means we’re intimately familiar with the demands on pilots and their aircraft. Reducing your downtime is our priority, and that includes providing you with essential information to manage your flights efficiently.

VFR FLIGHT PLAN CANCELLATION

For Visual Flight Rules (VFR) flight plans, the responsibility for closing or canceling the flight plan rests squarely with the pilot.2 Unlike Instrument Flight Rules (IFR) flight plans, VFR plans are not automatically closed upon landing at a towered airport.3 This is a common misconception, and failing to close your VFR flight plan can lead to significant inconvenience and even the initiation of search and rescue procedures. The FAA’s Aeronautical Information Manual (AIM) explicitly states that if you fail to report or cancel your flight plan within 30 minutes after your Estimated Time of Arrival (ETA), search and rescue procedures will begin.1

There are several ways to legally cancel a VFR flight plan:

IN FLIGHT:

  • Contact Flight Service Station (FSS) by Radio: This is the most common and often preferred method. Contact the nearest FSS on their published radio frequency. A common phraseology would be: “[FSS Name] Radio, [Your Aircraft Call Sign] on [Frequency],” followed by “[Your Aircraft Call Sign] is [distance/direction] of [Airport Identifier], landing assured, please cancel my VFR flight plan.” Remember to spell out your location phonetically for clarity.
  • Contact ATC (if in contact with them): While ATC doesn’t automatically close VFR flight plans, they can often relay your cancellation request to an FSS.4 If you are receiving flight following services, you can inform ATC you wish to “cancel flight following and your VFR flight plan.” They may then instruct you to change to an FSS frequency or they may relay the cancellation for you.

ON THE GROUND:

  • Call 1-800-WX-BRIEF: This toll-free number connects you directly to an FSS specialist. Simply provide your aircraft call sign and location, and they will cancel your VFR flight plan. This is an excellent option for canceling immediately after landing, especially at uncontrolled fields where radio communication with an FSS might be difficult or unavailable.
  • Utilize Electronic Flight Bag (EFB) Applications (e.g., ForeFlight): Many modern EFB applications offer the convenience of activating and closing VFR flight plans directly within the app. If you activated your flight plan through one of these services, you can typically close it with a few taps on your device. However, if you activated it with an FSS, you must close it with an FSS, even if you use an EFB to attempt a cancellation. Always double-check that your cancellation has been acknowledged.
IFR FLIGHT PLAN CANCELLATION

Instrument Flight Rules (IFR) flight plans operate differently because they are actively managed by ATC for separation and sequencing. When landing at an airport with an operating control tower, your IFR flight plan is typically automatically closed upon landing.5 However, there are scenarios where manual cancellation is necessary, particularly when transitioning to VFR flight or landing at an uncontrolled airport.

IN FLIGHT:

  • Cancel with ATC: You may cancel an IFR flight plan at any time the flight is operating in Visual Meteorological Conditions (VMC) and outside Class A airspace. Simply state “CANCEL MY IFR FLIGHT PLAN” to the controller. It is crucial to ensure you can maintain VFR cloud clearance requirements before canceling your IFR clearance. If you are unable to maintain VFR conditions, you cannot legally cancel your IFR flight plan in the air.
  • Request “VFR-on-Top” or “Cancel IFR and continue VFR”: These options allow you to transition from IFR to VFR flight rules while still potentially receiving services like flight following. Always confirm with ATC that your IFR flight plan has been canceled and that they understand your intentions.

ON THE GROUND (AT UNCONTROLLED AIRPORTS):

  • Contact ATC or FSS by Radio: If you land at an uncontrolled airport, you are responsible for canceling your IFR flight plan. You can do this by contacting the controlling ATC facility (Approach/Departure Control) on the frequency you were last using, or by calling an FSS via radio or phone (1-800-WX-BRIEF). It’s advisable to make this call as soon as practicable after landing. Some pilots will even ask the approach controller for the best way to cancel their IFR flight plan once on the ground at a non-towered airport.
THE IMPORTANCE OF CANCELLATION: WHY IT MATTERS

CONSISTENCY: As a pilot, maintaining consistency in your procedures is paramount for safety. Just as you consistently file a flight plan, consistently canceling it reinforces good habits and demonstrates your commitment to safe and responsible airmanship. This consistency helps prevent the FAA from initiating costly and unnecessary search and rescue operations, a direct result of unclosed flight plans.

SOCIAL PROOF: Experienced and professional pilots consistently adhere to these procedures. By diligently canceling your flight plan, you align yourself with the practices of responsible aviators who understand the interconnectedness of the National Airspace System. When everyone does their part, the system operates more smoothly and safely for all.

AUTHORITY: The FAA mandates these procedures for a reason – to maintain order and safety in our skies. By adhering to flight plan cancellation regulations, you are not just following rules; you are exercising your authority as pilot in command responsibly and contributing to the overall integrity of the aviation community. Failure to cancel can result in unintended consequences, including potential inquiries from authorities if a search is initiated.
